How to host a volleyball drop in.
Lessons from the hosts who run 100+ games on Javelin every week. Whether it's your first drop in or your fiftieth tournament, this is how to run a volleyball event players come back to.
Choose your format and skill level
Start with the event type: a drop in is the simplest to run, while leagues and tournaments need more planning. Then pick one skill level. Mixed-level games are the number one reason players don't come back. Our skill level guide describes what players at each level can do.
Book a gym or court
Community centres, school gyms, church halls and private facilities all rent volleyball courts by the hour, often with discounts for a recurring weekly booking. Ask about net and ball storage, ceiling height, set-up time and insurance requirements before you sign. In summer, beach and grass courts are a great low-cost option.
Set your capacity and price
Plan for 12 to 18 players per indoor court (two teams of six plus subs) and 8 to 12 per beach court. Add up the court rental, equipment and your time, then divide by the number of spots you expect to fill, not the maximum. Check what similar volleyball drop ins near you charge so your price stays competitive.
Sort out equipment and safety
You'll need a regulation net with antennas, at least two or three good game balls per court, a ball pump and a first aid kit. Know where the exits, washrooms and nearest AED are, and make sure everyone plays by a clear code of conduct.
List and promote your event
Players can't come to a game they can't find. Get in touch with Javelin to list your event so it appears in the app and marketplace, where players search by city, day and level. Then share it with your friends, teammates and social channels for an extra push.
Run a great night
Arrive 15 minutes early to set up nets and check the floor. Welcome new players by name, balance the teams, rotate subs fairly and keep games moving with a simple format like rally scoring to 25. A friendly host is what turns a first-timer into a regular.
Make it a regular thing
The most successful volleyball drop ins happen at the same day and time every week. Consistency lets players build your game into their routine, and a weekly listing on Javelin keeps it in front of new players all season.
Anyone 18+ who can run a safe, organized game: individual organizers, coaches, clubs, leagues, facilities and companies. First-time hosts are welcome. We'll walk you through it.
You need a confirmed venue for your event. If you don't have one yet, get in touch and we'll share tips on booking community centres, schools and private gyms.
We usually reply within 2 business days. Once the details are confirmed, your event goes live on Javelin.
